Glossary

Core IT Asset Management Concepts

The set of business practices that join financial, contractual, and inventory functions to support lifecycle management and strategic decision-making for the IT environment. According to ISO/IEC 19770 standards, ITAM encompasses "the system, processes and technology used to detect, track, manage and optimize IT assets throughout all stages of their lifecycle." Effective ITAM helps organizations track and optimize the use of IT assets to reduce costs, eliminate waste, and improve business value.

Any component that contributes to the operation of an IT service. IT Assets are defined as "any IT-related hardware, software, subscriptions or services which the organization owns, is paying for, or is otherwise utilizing directly or indirectly." This includes hardware (servers, computers, mobile devices), software (applications, licenses), cloud resources, and digital information that an organization values.

The series of stages an asset goes through from acquisition to disposal. The ISO 19770-1:2017 standard defines it as "the stages involved in the management of the IT asset." Typically includes planning, procurement, deployment, maintenance, and retirement phases. Managing this lifecycle effectively is central to maximizing ROI on IT investments.

A comprehensive database that contains records of all IT assets owned by an organization. It typically includes details such as purchase date, cost, location, responsible owner, maintenance history, and current status.

A database that contains information about hardware and software assets (called Configuration Items or CIs), and their relationships. While often confused with an asset register, a CMDB focuses more on operational relationships between assets rather than financial and contractual details.

Hardware Asset Management Terms

A subset of ITAM that specifically focuses on physical IT assets throughout their lifecycle. As explained by InvGate, HAM "manages physical IT assets – computers, servers, mobile devices, printers, etc. – through their lifecycle from procurement to disposal." HAM tracks physical location, user assignment, maintenance schedules, and warranties.

A unique identifier attached to physical assets, often in the form of a barcode or RFID tag. Asset tags facilitate inventory tracking, audits, and maintenance management by providing a reliable way to identify individual pieces of equipment.

The date when a manufacturer officially stops selling a particular hardware model. After EOL, the product typically enters an extended support phase before all support is discontinued.

The point at which an organization ceases to use a particular asset, regardless of whether it's still supported by the manufacturer. EOSL decisions are typically based on factors like performance requirements, maintenance costs, and compatibility with newer systems.

The planned interval at which an organization replaces its hardware assets. Typical refresh cycles range from 3-5 years for desktops and laptops, though this varies by industry and specific use cases.

Software Asset Management Terms

The process of tracking and optimizing the purchase, deployment, maintenance, utilization, and disposal of software assets. According to ITIL as referenced in Wikipedia, SAM is defined as "all of the infrastructure and processes necessary for the effective management, control, and protection of the software assets throughout all stages of their lifecycle." SAM ensures compliance with license agreements while minimizing software spending.

The state of using software in accordance with the legal agreements established by the software publisher. Non-compliance can result in significant financial penalties and reputational damage.

Various models under which software is licensed, including:

  • Perpetual: One-time payment for indefinite use
  • Subscription: Recurring payments for ongoing use
  • Concurrent: Based on simultaneous users
  • Per-device: Tied to specific hardware
  • Per-user: Tied to individual users

Understanding these license types is crucial for effective license compliance management and optimizing software investments.

The monitoring and analysis of software usage patterns to optimize license purchases, identify underutilized applications, and ensure compliance with license terms.

The rights granted to an organization by a software publisher, defining what they're allowed to do with the software. Entitlements may include installation rights, usage rights, and access to support and updates.

Cloud Asset Management Terms

The process of overseeing cloud-based resources, including infrastructure, platforms, and software services. CAM focuses on optimizing cloud spend, ensuring security, and maintaining visibility across multiple cloud environments.

Cloud-based services that provide virtualized computing resources over the internet. Examples include Amazon EC2, Microsoft Azure VMs, and Google Compute Engine.

Cloud-based environments that enable developers to build, test, and deploy applications without managing the underlying infrastructure. Examples include AWS Elastic Beanstalk, Google App Engine, and Heroku.

Cloud-based applications delivered over the internet on a subscription basis. Examples include Microsoft 365, Salesforce, and Workday. SaaS presents unique asset management challenges as the software isn't directly "owned" by the organization.

Hardware or software used within an organization without explicit approval from the IT department. Cloud services have significantly increased shadow IT challenges, as departments can easily subscribe to new services without IT oversight.

Financial Terms in IT Asset Management

The comprehensive assessment of all costs associated with acquiring, deploying, operating, and retiring an IT asset. TCO includes not only the purchase price but also maintenance, support, training, infrastructure, and disposal costs.

A performance measure used to evaluate the efficiency of an IT investment or to compare the efficiency of several different investments. ROI for ITAM initiatives often comes from cost avoidance, improved compliance, and better resource utilization.

The systematic allocation of an asset's cost over its useful life. IT assets typically depreciate faster than other business assets due to rapid technological advancement and obsolescence.

Capital Expenditures (one-time, up-front expenses for physical assets) versus Operational Expenditures (ongoing costs for running a product, business, or system). The shift toward cloud computing has moved many IT investments from CapEx to OpEx models.

A financial management process where IT departments bill other business units for the IT services they consume. Chargebacks help create accountability and encourage efficient use of IT resources.

Compliance and Risk Management Terms

An examination conducted by a software publisher to verify that an organization is using their products in compliance with license agreements. Audits can result in significant financial penalties if non-compliance is discovered.

Laws governing the disposal of electronic equipment to minimize environmental impact. Organizations must follow specific procedures when retiring IT assets to avoid regulatory violations and potential fines.

The process of deliberately, permanently, and irreversibly removing or destroying data stored on a memory device. Proper sanitization is essential before disposing of any IT asset that may contain sensitive information.

Adherence to laws and regulations that affect how IT assets are managed. Key regulations include GDPR (data protection), HIPAA (healthcare data), and SOX (financial reporting integrity).

A document that verifies an asset has been properly destroyed or sanitized according to relevant standards and regulations. These certificates are important for audit trails and compliance documentation.

ITAM Processes and Methodologies

The Information Technology Infrastructure Library, a set of detailed practices for IT service management that focuses on aligning IT services with business needs. ITIL includes specific guidance on asset and configuration management.

The international standard for Software Asset Management, providing a framework for SAM processes and guidelines for SAM tool requirements. Compliance with ISO 19770 demonstrates mature software management practices.

The process of identifying IT assets on a network, often using automated tools. Discovery ensures that all assets are accounted for and provides visibility into unauthorized or unknown devices and software.

The tracking of physical IT assets, including their location, assignment, and status. Effective inventory management reduces losses, prevents unauthorized equipment transfers, and facilitates accurate financial reporting.

The process of comparing physical or detected assets against records in the asset register to identify discrepancies. Regular reconciliation ensures data accuracy and helps prevent unauthorized asset usage.

ITAM Tools and Technologies

Specialized applications designed to track and manage IT assets throughout their lifecycle. These tools typically include features for inventory management, license compliance, contract management, and financial reporting.

Software that automatically scans networks to identify and collect information about connected devices and installed software. These tools provide a foundation for accurate asset inventory without manual data entry.

Technologies used to physically identify and track IT assets. Barcodes require line-of-sight scanning, while RFID allows for passive detection of tagged items, enabling more efficient inventory processes.

Software specifically designed to track license entitlements, deployments, and usage. These tools help organizations optimize license purchases and prevent compliance violations.

The connection between IT Asset Management and broader IT Service Management processes. Integration ensures that asset information is available to service desk personnel, change managers, and other IT functions.

Emerging Trends and Future Terms

The practice of tracking and managing connected devices beyond traditional IT equipment. As organizations deploy sensors, smart devices, and industrial equipment with network connectivity, ITAM must evolve to handle these new asset types.

The application of AI and machine learning to asset management processes. AI can predict equipment failures, optimize refresh cycles, identify license optimization opportunities, and automate routine ITAM tasks.

The use of distributed ledger technology to create immutable records of asset ownership, transfers, and status changes. Blockchain promises to improve transparency and reduce fraud in asset management.

A subscription-based model where organizations pay a monthly fee for hardware, software, and management services. DaaS shifts hardware from a capital expense to an operational expense and transfers much of the lifecycle management responsibility to the provider.

A virtual representation of a physical asset, updated in real-time based on sensor data. Digital twins enable advanced monitoring, simulation, and predictive maintenance of critical IT infrastructure.
